Troubleshooting & FAQ

Fast diagnostic solutions to common questions, email delivery troubleshooting, and accounting support.

Common Diagnostic Solutions

I did not receive my 6-digit email verification OTP.
Possible Cause: Corporate spam filtering, strict greylisting, or a typo in the registered email address.
Recommended Solution: 1. Check your Spam/Promotions folder for an email from 'no-reply@ledgerflow.app'. 2. Wait 60 seconds and click 'Resend OTP'. 3. Ensure your IT administrator allows emails from the @ledgerflow.app domain.
My customer says they did not receive their invoice email.
Possible Cause: The customer's email address was entered incorrectly or their mail server rejected attachments.
Recommended Solution: 1. Open the invoice in LedgerFlow and verify the recipient email in the audit history. 2. Click 'Resend Email' or copy the 'Direct Online Payment Link' to share via Slack/message. 3. Download the PDF directly and attach it manually if required.
My journal entry will not save ('Unbalanced Journal Entry' error).
Possible Cause: Total debits entered do not exactly equal total credits.
Recommended Solution: Double-entry accounting requires Total DR == Total CR. Check your line items to ensure the debit column sum matches the credit column sum to the exact penny.
A customer invoice is showing 'Overdue' even though they paid.
Possible Cause: The payment transaction was recorded as a generic deposit rather than matched against the specific invoice ID.
Recommended Solution: Open the invoice, click 'Record Payment', and allocate the payment against Invoice #INV-XXXX to update its balance due to $0.00 and set status to 'Paid'.
I reached my monthly invoice limit on Starter tier.
Possible Cause: Starter plan includes 100 invoices per billing month.
Recommended Solution: Upgrade to the Professional Tier ($79/mo) for 1,000 monthly invoices and automated bank feeds. Upgrades take effect immediately with pro-rated billing.
Bank reconciliation statement variance is not $0.00.
Possible Cause: One or more bank transactions have not been matched or an internal duplicate entry exists.
Recommended Solution: Review unmatched items in the left panel. If an entry is missing from your ledger, click 'Quick Create' to add the matching expense or payment directly from the reconciliation screen.

Frequently Asked Questions

Is LedgerFlow compliant with GAAP and IFRS accounting standards?

Yes. LedgerFlow is built from the ground up on standard double-entry accounting principles with balanced general ledgers, immutable audit logs, and standard Chart of Accounts classifications that adhere to GAAP and IFRS guidelines.

Can I invite my external CPA or fractional CFO?

Absolutely. You can invite external accountants with the specialized 'Accountant' role. They will have access to your General Ledger, Journal Entries, Reconciliation, and Financial Reports without having access to your billing settings.

How does the 14-day free trial work?

You get full, unrestricted access to all features in your chosen tier for 14 days without entering a credit card. If you decide not to subscribe at the end of the trial, your data remains safely accessible in read-only mode.

Can I export my financial data to Excel or CSV?

Yes. Every table and financial statement (General Ledger, P&L, Balance Sheet, Invoices, Customers, Bank Transactions) can be exported to standard CSV or printed as vector PDFs at any time.

How are my passwords and banking data protected?

All user passwords are encrypted using Argon2id with unique salt hashes. All network traffic is encrypted via TLS 1.3, and database records utilize AES-256 encryption at rest with strict multi-tenant isolation.
